Purpose of the job
The Senior Corporate Administrator - Capital Markets responsibilities will include, but not be limited to, acting as an Officer and being responsible for the administration and management of a varied portfolio of clients where Ocorian is providing Registered Office and Administration services and support the Capital Markets Team in all corporate administrative matters.
Main responsibilities
- Manage the corporate administration for an active portfolio of entities consisting of exempted companies, partnerships, SPCs and other structures
- Handle day-to-day correspondence and administrative matters relating to entity formation and the on-boarding of new clients including the preparation of minutes, resolutions and related formation documents
- Liaise with and assist the Compliance Department with the completion of all AML and KYC requirements for client entities
- Maintain and update statutory records, registers and entity information in ViewPoint and DMS/iManage
- Attend to filings and general correspondence with RoC, DCI and CIMA and, ensure CORIS, CAPS and REEFs filings are handled in an efficient and timely manner
- Ensure that all entities are administered in accordance with their constitutional requirements and all applicable laws, regulations and internal policies and procedures
- Assist with client billing, aged receivables and WIP and work closely with the Finance Department on these matters as required
- Liaise with lawyers, intermediaries, collateral managers, trustees and other service providers
- Monitor client requests and prepare corporate documents for execution/certification and dispatch within tight deadlines
- Manage business intelligence, including capturing all contact details (where appropriate) in accordance with internal policies and procedures
- Maintain files, documents and client data as appropriate in ViewPoint, DMS/iManage
- Arrange GIIN applications and prepare US Tax documentation for execution and filing with the IRS
- Conduct annual and periodic client file reviews and clear trigger events from director/shareholder changes
- Ensure that all annual filing and license fees and annual returns that are payable by each relevant entity under Cayman law or required to be made are paid or filed, as the case may be, to the relevant authorities when due
- Handle mail received on behalf of client entities within the assigned portfolio in accordance with internal procedures
- Manage a range of high profile projects as assigned
- Support the Capital Markets Team in all corporate administrative duties
- Promote an atmosphere of cooperation and teamwork
- Perform any such other activities as may be reasonably required by the role

Qualifications Required
Knowledge, Skills and Experience
- An Associate or Undergraduate degree in business is desirable, but not essential
- 3-5 years’ experience as a corporate administrator in a reputable law firm/corporate services provider
- Proficiency in CORIS, CAPS, REEFs and the Microsoft Office suite of applications
- Experience using ViewPoint, DMS/iManage and/or NavOne database software would be an advantage
- Excellent client relationship and interpersonal skills
- Ability to work independently but collaboratively on instructions/enquiries received from clients and internal sources
- A strong sense of commitment and responsibility
- Excellent verbal and written communication skills
- Sound organizational skills.
