Job Description
Main Responsibilities
- Supporting Head of Private Clients Guernsey in coordinating the execution of projects that enhance the efficiency of services and performance of Private Clients Guernsey
- Assisting in the provision of secretarial and administrative assistance to the Local Service Line Heads including expenses, diary management, attendance and taking notes of team meetings, preparation of presentations.
- Liaising with Ocorian Group PAs globally to co-ordinate diaries and schedule meetings
- Organising business travel arrangements for Local Service Line Heads
- Assisting with the travel and co-ordination of visiting Exec members
- Assisting with facilities management including liaising with suppliers, services and trades members as required
- Assistance with the coordination of new starters/leavers.
- Providing assistance to the directors and administration teams on various ad hoc administration projects, typing, printing, scanning, etc. as required.
- Provide administrative support to other business lines / functions such as HR and Marketing upon request
- Supporting the business by carrying out other tasks as requested by the Secretarial Manager including covering Support Service staff in times of absence.

Qualifications Required
Knowledge, Skills and Experience
- Confident PC user.
- Good organisational skills and the ability to work under pressure.
- Self-motivated and solution orientated.
- Excellent oral and written communication skills
- Exceptional attention to detail and accuracy
- Good team player
- Excellent interpersonal skills and the ability to communicate effectively with colleagues at all levels
- Ability to manage time effectively, to prioritise and organise workflow
- Ability to work in a fast-paced environment, to respect strict deadlines
