Job Description
Purpose of the Job
The purpose of the Payroll Officer role is to ensure the accurate and timely processing of all payroll activities in compliance with legal, regulatory, and company requirements. The Payroll Officer is responsible for maintaining employee payroll records, verifying attendance and compensation data, and ensuring correct application of tax rules, social security contributions, and internal policies. The Payroll Officer reports directly to the Senior Payroll Officer.
Main Responsibilities
To be responsible for the day-to-day personal administration of a portfolio of Luxembourg companies:
- Preparing and managing payroll operations for a dedicated clients portfolio;
- Preparing employment contracts and other HR documents;
- Maintaining contacts with Luxembourg authorities;
- Preparing ad hoc reportings;
- Ensuring responsive services on payroll;
- Keeping up to date with relevant laws and best practices;
- Preparing personal tax returns;
- Preparing co-financing requests;
- Be aware of budget constraints;
- Know who are your main clients’ contacts and understand their activities;
- Communicate adequately with the clients (professionalism) and be considered as a contact person by the clients;
- Proactively handle client requests;
- Meet client deadlines;
- Understand the services proposed by Ocorian;
- Be compliant with internal procedures and best practices;
- Apply internal risk management procedures (i.e. KYC/AML);
- Adhere to a confidentiality culture;
- Acquire and develop standard knowledge in payroll / social security / personal tax;
- Proactively handle internal requests;
- Give regular feedback on the file progression to the senior payroll officers;
- Raise right questions regarding the management of recurring projects in order to gain progressively more autonomy;
- Produce and provide the senior officer high-quality documents and ensure that the files are well organised;
- Remain up to date with laws governing recurring and activities.
Qualifications Required
Knowledge, Skills & Experience
- Ideally a minimum of 1-2 years of experience in a similar role;
- Understanding and technical knowledge of funds administration, Luxembourgish Law;
- Strong IT skills (MS Office and accounting software);
- Excellent interpersonal skills and the ability to communicate effectively with clients and colleagues at all levels;
- Flexibility, energy and enthusiasm;
- Ability to work under pressure and meet deadlines;
- A solution-driven attitude to problems;
- Able to work independently and capable to prioritise tasks as appropriate;
- Good organisational skills and the ability to work methodically and accurately;
- Team spirit;
- Fluency in English and French (written and orally).
