Purpose of the Job

Compliance and data quality are at the core of Ocorian’s commitment, and the holder of this role will co-lead in the transformation in how and how well this commitment is achieved. The holder of this role will work with the Head of Global File Reviews to lead development and expansion of the Mauritius global file review and data management team to create a global centre of excellence to drive the global quality of file reviews, data quality and to improve the compliance outcomes.

They will interact with all levels across the organisation to transform the Ocorian file review landscape and achievement of the project and business as usual objectives. The role holder will plan and organise file review and data management work and take a lead in stakeholder communication.

This role involves actively managing and coaching a team, implement and monitor a performance culture, daily work planning and actively liaising internationally with jurisdictional client administrators, directors and service line representatives, to ensure the timely delivery of an appropriate output, in accordance with each of the programme deadlines.

The role also includes managing client communication that involves both direct and indirect interactions with clients either directly or in collaboration with the relevant client teams. 

Main Responsibilities

Ensuring world class client service delivery:

  • Responsible for the accuracy, excellence of service and the timeliness of all deliverables within the global file review team.
  • Build a strong service delivery relationship with each employee and stakeholder and ensure that adequate and qualified staff members are always available to handle service matters.
  • Together with the Head of Global File Reviews, hold regular (weekly and/or) business / service meetings, ensuring delivery of pre-agreed quality and quantity of services.
  • Act as a first point of escalation to resolve service issues and problems.

Enhancing Operational Excellence:

  • Own the global file review and data management process and be able to provide quality assurance at all times.
  • Provide assistance for the transition of the file review and data management service from abroad to Mauritius within given deadlines.
  • Manage pro-actively the end-to-end delivery of complex global file review and remediation process, which includes:
  • Manage the day-to-day operational process and planning of file review and remediation cases
  • Ensure timely completion of review, remediation, sign off
  • Escalation where necessary to ensure no unnecessary delays
  • The role will drive delivery of key activities and lead coordination of processes to deliver the MI information to stakeholders and the team.
  • Ensure that all appropriate mitigation and performance improvement measures are in place and organize all regular tasks to support the delivery route.
  • Provide clear recommendations and reasoning solutions to help improve the process workflow and develop understanding of programme approaches and their complexities.
  • Ensure the team gradually solves any file review and data management backlogs (if any).

People and Culture:

  • Act as a leader to motivate and coach staff members and ensure they are fully engaged in their work.
  • Train and impart knowledge to staff members on all tasks and processes.
  • Carry out performance appraisal and monitoring and provide feedback to staff members as and when required.
  • Live the values of the company and ensure that staff members are abiding to these values.

Qualifications Required
  • Degree holder in Law/Management/ Finance.
  • Professional qualification is desirable (e.g., ICSA, ICA or ACAMS).

Knowledge, Skills and Experience

  • Have a minimum of 8 years of relevant working experience, with at least 5 years of experience in managing/leading a substantial team
  • Proven experience in managing and leading high performing teams to deliver complex work to high standards
  • Experience in compliance activity with the passion to maintain hands on involvement in completion of tasks and leadership of teams
  • Able to use technology to drive change and process improvement
  • Literate in Excel (vlookups, filtering, pivot tables)
  • Strong project planning and delivery – model timelines
