Job Description
Purpose of the job
Reporting to the Event Executive, an Event Assistant is required to play an integral part in the day-to-day co-ordination of events and on the day event management. The Event Assistant will deliver a first-class experience and provide a seamless service through co-ordination with our stakeholders, suppliers and agencies. This role plays a vital role in building Ocorian’s presence across Ocorian’s five market segments: Capital Markets; Corporate; Fund Service; Private Client; and Regulatory, Compliance and Legal.
Ocorian’s event calander consist of 120+ events across the year in a variety of our locations. Event types include a significant number of third-party trade shows and conferences as well Ocorian hosted events (client reception and events/product/service launches).
Events will be focussed across our key buying centres including London, New York, Luxembourg and the Middle East.
Main Responsibilities
Event administration
- For office-based events, ensuring necessary rooms are booked and calander invites distributed
- Working with the wider team sourcing and shipping of our event merchandise to various locations
- Ensure all required marketing materials are produced and shipped in a timely manner
- Looking after the various event inboxes, responding to stakeholders in a timely manner and updating the events software
- Researching and sourcing new venues and updating the venue library
- Researching the wider industry trends
- Assisting wider team (plus marketing managers) with ad hoc tasks for larger events
- Curation and guest-list management of Member and Partner events, in collaboration with the global events team
Event management
- Executing our delegate only conferences (booking delegates onto events, briefing in promotional materials, delegate management)
- Welcoming guests at registration and helping with set up and de-rig when required
- Confirming reservations at our award ceremonies
- Set up and clear rooms, move furniture and equipment as required in accordance with Health and Safety and manual handling requirements
- Supporting the event executive with back-end tasks for our hosted events (calendar holds, email set up, collateral printing, plus other tasks when required)
Post event
- Populating data into our event systems (SalesForce and Asana)
- Creating engaging photographic collages for our post-event comms
- Ensuring all on-site materials are returned and accounted for in various offices

Qualifications Required
- Bachelors degree or equivalent marketing qualification.
- At least 1 years marketing and events experience
- Excellent Microsoft office skills
- The ability to handle pressure and meet deadlines
- Evidence of working in a complex environment and dealing with change (desirable)
- Excellent written and oral communication skills
- Experience in SalesForce, Asana and Hubspot preferred but not essential
- A personable and articulate team player, presentable at all times with excellent customer service and organisational skills
- Keen to grow within a striving business
- Always striving to improve the event delivery experience to both in/external stakeholders
- Self-motivated with a positive ‘can-do’ attitude and a willingness to learn new skills
