Main responsibilities

Deliver operational excellence and ensure compliance:

  • Providing high quality client-centric administration activities for clients in a timely manner, managing high client expectations and delivering consistent results, ensuring established processes and procedures are followed.
  • Assisting the managers and directors, in administering a portfolio of clients (to cover all minute keeping, company secretarial matters, payments, correspondence, banking, keeping the structure in good standing).
  • Building your skills in drafting minutes, resolutions and loan agreements
  • Developing your understanding of the local and wider compliance and regulatory environment, delivering services to clients within this environment and ensuring data accuracy and completeness. 
  • Deepening your technical knowledge and completing relevant professional qualifications.

Deliver client-centric service:

  • Growing your appreciation and understanding of client needs and your knowledge of the broader services Ocorian provides. Building confidence and skills to deliver with limited changes and input from your manager.  
  • Consistently following global operational procedures, escalating issues promptly to your manager when they arise and being proactive to recommend follow up actions with clients to ensure the client is delighted with our service.

Ensure financial management:

  • Supporting with the financial management of clients; achieving utilisation rates and accurate time recording and assisting with the billing process and monitoring of the aged debt position.

Qualifications Required
  • Educated to A level or equivalent;
  • Completed first degree in a relevant field or on the way to complete ICSA

Knowledge, Skills and Experience 

  • 1-2 years’ experience in company and trust administration.
  • Digital Literacy - proficient in the use of the Microsoft Office suite of applications and Ocorian's core systems and apps, building your understanding of the databases used (Viewpoint, NavOne etc) and how to extract data. 
  • Administrative Skills - able to handle tasks such as data entry, filing, and document management efficiently.
  • Service Delivery – able to deliver agreed objectives with guidance and support from line manager.
  • Discretion and Confidentiality - able to maintain confidentiality and handling sensitive client information with the utmost discretion.
  • Adaptability - demonstrates flexibility to changing priorities and work demands.
  • Accountability - able to take responsibility for work output.    
  • Presentation Skills – able to convey results and outputs of work to senior management in a clear and succinct manner.
  • Attention to Detail - demonstrates good attention to detail to produce good quality work
  • Time Management - able to manage workload, prioritise tasks, and meet deadlines in a fast-paced private client service environment.
  • Communication Skills - able to interact with clients, colleagues, and others in a courteous and effective manner.
  • Collaborative Skills- works with colleagues and assists team members in administrative tasks to achieve common goals.
