Assistant Administrator – Corporate Services

Purpose of the job:
The successful candidate will assist the Administrator and/or Senior Administrator by adhering to the policies and procedures of Ocorian.

Main Responsibilities:

  • Conduct the following within prescribed deadlines:
  • Conduct the day to day Management and Administration of a portfolio of clients.
  • Prepare payments using online banking systems, drafting letters and any other administrative tasks that may be required to expediate client administration.
  • Assist the administration team to ensure that database and statutory records are maintained and updated as required.
  • Assist with collating, printing, and flagging documents for signatures.
  • Assist with team filing, scanning, archiving and closing business forms when required.
  • Assist the team and liaise with banking institution and any other relevant authorities where required for day to day administration.
  • Ensure completeness of due diligence documents for a portfolio of clients according to Ocorian Policies and Procedures.
  • Lodge statutory filings.
  • Open clients’ bank accounts.
  • Compile board packs for Board Meetings.
  • Carry out any additional support activities as reasonably required across the team or by the Management team or Directors from time to time.
  • Execute the Company Secretarial and Administration processes whilst ensuring an optimal level of efficiency at all times.

 To qualify for the role:

  • Educated to A level or degree standard.
  • Enrol or in the process of enrolling on ICSA Level 1 or ACCA Level 1 or any professional qualification related to the Global or financial sector.
  • Ability to learn CBRIS and IT systems related to the job.
  • Grasp the use of technology necessary for conducting board meetings.
  • Learn all the internal booking facilities when organising meetings.
  • Microsoft Office Proficiency (Intermediate level).
  • Having less than 2 years of working experience.
